The Marketing Event Coordinator will oversee daily operations, coordinating and supporting the execution of multiple simultaneous events across the United States. This individual will collaborate with various internal departments and external vendors to ensure seamless event execution. Additionally, they will play a key role in engaging and inspiring laryngectomy and tracheostomy patients and clinicians nationwide.

 

Main job responsibilities: 

  • Coordinate virtual/live events for patients, caregivers and medical professionals.
  • Assist with site selection, contract review, and negotiation.
  • Coordinate catering services, venue and communication equipment requirements.
  • Plan meetings /events, e.g. requests to send out invitations/materials, follow up on registration and attendance. Coordinate event content, handle client queries and troubleshoot before and on the day of the event.
  • Develop and document local event material and details including topics, timelines, venues, suppliers, vendors, shipping, staffing and budgets.
  • Negotiate and adhere to event budgets.
  • Ensure legal, insurance, health and safety compliance.
  • Evaluate and document post event assessments, including event metrics related to attendee satisfaction, registration and attendance etc.
  • Propose ideas to improve the overall execution of events based on learnings.
  • Coordinate with clinical, sales and marketing teams to publicize and promote events.
  • Provide back up support as an administrative superuser for event software.
  • Assist in standardizing processes and training new employees entering the department/company.
  • Complete expense reporting and ensure compliance with HCP reporting guidelines. 

 

Basic Qualifications:

  • HS Diploma or GED
  • 2+ years of experience coordinating events and/or meetings, inside sales, project management OR equivalent combination of education and training.

 

Preferred Qualifications:

  • Bachelor’s degree in Marketing, Communications, Business or related field
  • 3+ years of experience coordinating a high volume of simultaneous events across the nation. Events experience in DME, Healthcare, Life Science or related field preferred.

 

Competencies:

  • Excellent verbal, written, and interpersonal communication skills, with strong active listening.
  • Organized, detail-oriented, and able to manage and prioritize multiple tasks effectively.
  • Strong time management and negotiation skills for securing venues and resources.
  • Customer-focused with the ability to work well under pressure, anticipating and meeting client needs.
  • High proficiency with MS Office, SAP/CRM, and event tools (Aventri, WordPress); marketing tools (Adobe InDesign, Photoshop) preferred.
  • Strong problem-solving and troubleshooting abilities, with a continuous improvement mindset.
  • Self-starter who works well independently and within a team.
  • Empathetic, proactive, and target-driven.
  • Leadership skills to assist and support team members.
  • Experience with expense and HCP reporting.
