The Marketing Coordinator provides essential support to the U.S. marketing team, focusing on community events, vendor and contract management, administrative support, and legal and compliance activities. This role plays a key part in fostering engagement and inspiration among laryngectomy patients and healthcare professionals nationwide.

 

Main job responsibilities: 

  • Assist in the review and approval process for all marketing materials, ensuring compliance with brand standards and regulatory requirements.
  • Support Events team when necessary, including site selection, contract review, and coordination of catering, venue, and communication equipment needs.
  • Assist in the execution of internal and external events, including employee functions, patient ambassador meetings, and professional conferences.
  • Assist with digital and traditional marketing initiatives, providing administrative and logistical support.
  • Organize and maintain photo library and other marketing assets.
  • Communicate with vendors, oversee contract relations, and ensure adherence to legal and compliance guidelines.
  • Coordinate travel arrangements and agendas for international visitors, ensuring seamless logistics.
  • Monitor legal, insurance, health, and safety compliance across all events and marketing activities.
  • Handle expense reporting, ensuring accuracy and compliance with HCP reporting guidelines.
  • Collaborate with the Fulfillment team to coordinate product shipments and marketing material distribution.
  • Partner with the Digital Marketing Specialist to ensure marketing activities meet compliance and approval standards.
  • Maintain organized records for all contracts, vendor agreements, and project timelines to ensure efficient workflows.
  • Provide administrative support to the marketing team and take on additional marketing tasks as needed.

 

Basic Qualifications:

  • Associate’s or Bachelor’s degree in Marketing, Communications, Business or related field OR equivalent combination of relevant experience
  • HS Diploma or GED

 

Preferred Qualifications:

  • Bachelor’s degree in Marketing, Communications, Business or related field
  • 1-2 years of marketing experience within a healthcare setting or related industry

  • Must be highly organized with the ability to manage multiple tasks, set priorities effectively, and maintain strong attention to detail.
  • Excellent in time management with ability to manage and coordinate between many stakeholders
  • Demonstrates exceptional customer focus and thrives under pressure, proactively anticipating and addressing customer needs without prompting.
  • Highly proficient computer skills with MS Office applications
  • Intermediate technical skills required. Experience with event tools and applications preferred (i.e. SAP/CRM/BI systems, Aventri, WordPress, Microsoft Excel, etc. or equivalents)
  • Basic technical skills and experience with marketing tools and applications preferred (i.e.  Adobe InDesign, Adobe Photoshop, Adobe Illustrator, etc. or equivalents) preferred
  • Photography experience preferred
  • Advanced problem-solving skills and proven ability to troubleshoot and seek solutions
  • Ability to work in a team environment a must
  • Possesses empathy and the ability to build meaningful connections with others.
  • Target-driven with a proactive approach.
