- About the job
- As a Documentation Specialist, you will be responsible for maintaining and updating existing documentation to ensure accuracy, compliance and usability. This position supports the Technical Writer by performing routine edits, coordinating annual documentation reviews, and assisting with quality control activities. You will work collaboratively under the guidance of senior team members to ensure documentation remains current and aligned with organizational standards.
- Key Responsibilities:
- Perform routine updates and edits to existing policies, procedures, desk level procedures, and job aids based on approved change requests.
- Coordinate and track annual review cycles for existing documentation, ensuring timely completion and accuracy.
- Review and copyedit documentation for grammar, formatting consistency, and adherence to style guidelines.
- Update version control records and maintain documentation repository organization.
- Support documentation distribution processes and track acknowledgement completeness.
- Collaborate with subject matter experts to validate routine updates and clarify content requirements.
- Maintain documentation templates and ensure consistency across documentation types.
- Identify and escalate documentation gaps or issues requiring senior-level attention.
- Support continuous improvement initiatives related to documentation processes.
- Assure all processes, SOPs, and tools are in compliance with our HIPAA privacy standards, all state and local laws, our Accrediting agency, OSHA, Medicare/Medicaid, Third-Party and private payor guidelines.
- Comfort Medical employees are required to conduct business to the highest ethical and professional standards; comply with applicable laws and regulations, the Advamed Code of Ethics on Interactions with Healthcare Professionals, and company policies.

- Requirements:
- University degree in English, Communication, Technical Writing or related field, or equivalent combination of education and relevant professional experience
- 2-3 years of experience in documentation, technical writing, or related role
- Exceptional English language proficiency (written and verbal) at professional/business level, ability to write, edit, and communicate complex information clearly and accurately
- Strong written communication skills with exceptional attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, SharePoint)
- Ability to follow established style guides and formatting standards
- Strong organizational skills with ability to manage multiple assignments and meet deadlines
- Ability to work collaboratively with cross-functional teams across multiple time zones
- Demonstrates initiative and ability to work both independently and under supervision
