Payroll Specialist

The Payroll Specialist is responsible for the accurate, timely, and compliant processing of payroll, ensuring employees are paid correctly and in accordance with applicable legislation and company policies. This role serves as point of contact for employees, managers, and external authorities on payroll-related matters, while maintaining the highest standards of data integrity, confidentiality, and customer service. The Payroll Specialist also supports continuous process improvement initiatives and contributes to payroll operational excellence.

 

Major areas of accountability: 

  • Process, validate, and maintain payroll data to ensure accurate and timely salary payments.
  • Execute end-to-end payroll activities in compliance with labor legislation, tax regulations, and company policies.
  • Serve as point of contact for employees and managers regarding payroll-related inquiries and issues.
  • Liaise with external stakeholders, including Social Security, Tax Authorities, and other statutory institutions.
  • Prepare, review, and submit statutory payroll reports and declarations, within required deadlines.
  • Administer payroll-related transactions, including benefits, allowances, bonuses, deductions, salary advances, and wage garnishments.
  • Ensure the accurate recording and maintenance of employee payroll data within payroll system.
  • Maintain payroll documentation and employee records in accordance with legal and company retention requirements.
  • Support the administration and maintenance of the Time & Attendance system, ensuring accurate integration with payroll processes.
  • Monitor compliance with data privacy regulations and internal controls related to payroll information.
  • Identify opportunities for process optimization, automation, and efficiency improvements within payroll operations.
  • Collaborate with the business stakeholders to ensure seamless payroll delivery and process alignment.
  • Contribute to payroll-related projects, system implementations and process enhancements as required.

 

Essential Qualifications:

  • Any graduation in business administration, human resources, or accounting preferred, specialized in payroll is an advantage.
  • Working knowledge of relevant legal regulations and labor legislation.
  • Experience working with different shifts payments.
  • 5+ years of experience working in a payroll process.
  • Proficiency in Microsoft Office and payroll software programs.
  • Familiarity with SAP ERP systems is a plus.

 

Required knowledge, skills & abilities:

  • Strong numerical and analytical aptitude and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficiency in Portuguese and English (required).
  • Good time management and organizational skills.
  • Able to prioritize and multitask effectively.
  • High degree of personal ownership on all areas of own responsibilities.
  • Ability to effectively communicate with all levels of the organization.
