Operations Support Associate

The Operations Support Associate is responsible for assisting staff located in the Arlington, VA, office with various projects and administrative tasks. Responsibilities include conducting and managing projects, corresponding with key stakeholders, scheduling meetings, maintaining data, creating and distributing reports. Additional responsibilities include liaising with the sales team and other managers to organize educational and training events.  The Support Associate also supports management of budgets and contracts.

 

The Operations Support Associate works primarily in the corporate office with some travel and reports to the Medical Affairs Operations Manager.

 

Essential Functions

  • Facilitate Medical Educational events for physicians and training events
  • Book venues, create invitation cards for events, collect and review sign-in sheets from events
  • Assemble and review presentations, reports, and documents
  • Assist with report creation for leadership meetings
  • Record and distribute meeting minutes
  • Review incoming memos, submissions, and reports
  • Track costs to ensure adherence to department budgets and policy
  • Submit payment requests and follow up on timely payments
  • Enter and maintain data
  • Perform general administrative duties, such as sorting incoming correspondence and ordering supplies
  • Handle miscellaneous tasks as assigned

  • Ability to turn data into graphs
  • Fluency in Microsoft Office Suite

 

Education & Experience

  • 1-3 years of relevant experience
  • Associate or bachelor’s degree
  • Experience in Medical Affairs preferred
  • Experience interacting with medical doctors preferred

 

Anticipated travel 20%
