The Events Coordinator is responsible for the planning, managing and execution of Kerecis meetings, conferences, and medical symposiums. 

 

The Events Coordinator is part of the Medical Affairs team in the Arlington, Virginia, office and reports directly to the Director of Events & Conferences.  This is a full-time, in-office job.

Major Areas of Accountability

  • Collaborate with stakeholders to plan and execute internal events, including company-wide meetings, conferences, medical symposiums, and other events
  • Manage and execute all logistical aspects of internal events, such as site selection, contract execution, vendor management, and attendee lodging, travel arrangements, and on-site coordination
  • Collaborate with IT and external vendors to ensure seamless audiovisual setup and technical support during events, including presentations, videos, and live streams
  • Plan and manage team calls leading up to events and conferences inclusive of Medical Affairs, Clinical Affairs, Sales, Marketing, etc., to ensure alignment and smooth execution plan
  • Assist in creating and managing event budgets, tracking expenses and ensuring cost-effective event execution, and financial reconciliation, including submitting purchase orders and invoices and reconciling department expenses monthly
  • Assist in creating promotional materials, invitations, and digital communications to ensure alignment with event objectives
  • Conduct post-event retrospectives to reconcile budget, measure event success, identify areas for improvement, and make recommendations for future events
  • Work flexible hours, including evenings and weekends, as necessary for event planning and execution
  • Anticipated travel: up to 20%

Basic Qualifications

  • Bachelor's degree from an accredited college or university in marketing, communications, event management, or related field required
  • 2+ years’ experience in event coordination/planning, marketing, communications or similar field
  • Proficiency in Microsoft Office
  • Ability to multitask in a fast-paced environment

 

Preferred Qualifications

  • Medical Device / Pharma company experience
  • Strong organizational and project management skills, capable of handling multiple tasks simultaneously, meeting deadlines, and managing unexpected challenges during events
  • Excellent communication and collaboration skills to work effectively with cross-functional teams and build relationships at all organizational levels
  • Attention to detail
  • Commitment to delivering high-quality event experiences, ensuring flawless execution of all logistical aspects
  • Proactive problem-solving skills to identify and address issues in a fast-paced environment
