The Role:

  • Responsible for supervising the members and processes related to the Medical Records departments; assuring that all responsibilities within those areas are in compliance with our HIPAA privacy standards, all state, and local laws, our Accrediting agency, OSHA, Medicare/Medicaid, Third-Party and private payor guidelines. Promotes adherence to all corporate policies, practices, and compliance programs. Enables teams to meet production and quality goals by encouraging increased production and being available for questions and additional coaching whenever necessary. Under direction, researches, formulates and executes management reports detailing the production of daily billing functions and medical records documentation.

 

Responsibilties:

  • Trains and introduces new members of the department to the functions and responsibilities of the Team.  Assures that they are familiar with the equipment, routines, and standards of the department.  Monitors the progress of team members and informs them of changes in procedures, technologies, policies, and practices
  • Assists the Team in the efficient analysis and resolution of all Medical Records requirements and challenges/issues.
  • Assists the Team in the efficient handling, reviewing, validation, and posting of Medical Records to support claims and audits
  • Monitors productivity and reports business shifts to Sr. Director of Finance and Business Development to assure the team can meet team goals established by management
  • Works with the Revenue Cycle Management Team to attain weekly/monthly goals for team; promotes a positive and cooperative attitude with the team in order to facilitate a high degree of morale in the department; translates that positive attitude into a productive and loyal workforce
  • Generates daily and monthly reports that facilitate workflow metrics and audit processes for the department; distributes to designated staff
  • Assures that teammates are in compliance with departmental policies and procedures and are applying HIPAA and PHI regulations effectively. May audit systems usage and teammate performance; reports results to Revenue Cycle Management Team and may facilitate coaching and counseling of teammates as directed
  • Assists with the development and implementation of new technologies, tools, or system applications that have the ability to increase production
  • Review departmental issues that impact the team’s ability to process work within the department; conduct processes for quality assurance purposes and to assure that the team is utilizing the most efficient methods for processing of work
  • Assist the Sr Director of Finance and Business Development in maintaining good employee relations within the department; supports the success of the department by assisting team members in reaching their potential and meeting departmental expectations
  • Promotes the concept of customer satisfaction by encouraging proficiency and pride in the team
  • Proactively identify and address recurring problems and construct action plans for solutions
  • Prepares other reports or analysis of statistical data as directed by business conditions or management team
  • Communicates effectively with management, teammates, and other departments to source and collect data; supports the team culture within the organization by adhering to policies, practices, and the Company’s mission statement
  • Performs job responsibilities within established regulatory guidelines (HIPAA, PHI, Medicare/Medicaid, etc.) and reports non-compliant activity to Revenue Cycle Senior Manager; protects patient and company confidentiality in all matters of Reimbursement
  • Provides exceptional service to patients, internal and external customers, and third-party payors; interacts professionally with all contacts in order to promote effective exchanges of information
  • Looks for ways to improve and promote quality processes within and outside of the department
  • Leads by example by reporting to work on time and ready to work; promotes the company Dress Code by maintaining a professional appearance and appropriate attire
  • Adapts to stressful situations and demonstrates multi-tasking capabilities when dealing with frequent changes in an ever-evolving work environment; inspires staff to remain focused during high productivity periods
  • Implements change in a constructive and beneficial manner, recognizing the need for change and the results of improved work processes
  • Maintain knowledge of all regulatory requirements by attending in-service classes and annual HIPAA updates
  • Other duties as dictated by business conditions or management directive

 

Basic Qualifications

  • Bachelor’s degree preferred or 3+ years of medical records management and billing & reimbursement experience
  • Fluent in English
  • Knowledge of governmental payors, medical terminology, regulatory compliance, and billing codes, specifically of diagnostic and procedural terminology, ICD and CPT/HCPCS coding systems and compliance rules
  • Excellent written and verbal communication skills
  • Ability to work successfully work as an individual and team contributor
