Management Assistant – keep global leadership one step ahead

Would you like to become a trusted partner to the Vice Presidents for Customer Experience and Finance in Chronic Care – gaining trusted sparring partners at senior level and unique insight into an international organization that improves the lives of people with intimate healthcare needs?

Then join us in a seat close to senior leadership, where you act with a real mandate rather than passing everything up the line. Here, you will get a role with genuine variety, as your new position combines executive support, communication and project coordination.

Join the team that ensures that the customer stays top-of-mind
You will join the Customer Experience organisation within Chronic Care. Our main agenda is to ensure that Coloplast continuously becomes even more customer-centric, as we support the health care needs of millions of users. All this is in a culture where listening to one another is as valued as listening to customers.

As Management Assistant, you will become a key member of our leadership support, partnering with senior executives while working closely with colleagues and stakeholders across multiple business areas.

Become the quiet engine behind two of our VPs
Being the steady hand behind your VPs, you will make sure meetings, travel and documentation are all handled efficiently. One hour you are shaping an agenda, the managing expenses, and the next scheduling a performance review.

We expect that you will spend around 70 % of your time assisting the VP for Customer Experience and 30 % supporting the VP for Finance.

More specifically, you will:
•    manage the calendar and day-to-day administration for both VPs, coordinating meetings, travel, PowerPoint presentations and expense reporting
•    plan, run and follow up on leadership, department and all-staff meetings, and prepare agendas and minutes so decisions are captured and acted on
•    develop, maintain and communicate administrative systems, as well as drive the flow of information across the department’s various platforms
•    help the VP build a professional presence on LinkedIn, creating content that showcases the department’s achievements, vision and projects and strengthens Coloplast’s Employee Value Proposition
•    run HR activities and processes as the point of contact for Corporate HR and external partners – job postings, SuccessFactors recruiting, interviews, announcements and onboarding of new employees
•    act as AI Ambassador, encouraging colleagues to adopt AI-driven tools and ways of working
•    support the leadership team on finances together with CP Finance, using Basware/Alusta Invoice and CONCUR, and approve invoices and purchase equipment by proxy up to agreed limits (DKK 50,000–100,000)
•    run surveys and newsletters in tools such as Enalyzer, MS Sway and RISE (Articulate)
•    handle Access to Healthcare administration – agendas and minutes from SteerCo meetings, applications, agreements and payments, and collaboration with HQ and affiliates, including maintaining the AtH templates and AtH Connect site

An experienced coordinator who thrives close to the top
You know how to prioritise when several things land on your desk at the same time, all while keeping a high bar for quality – also when the pace is high. A holistic sense of our business helps you see why a task matters, and when supporting us in new ways of working, you take on a positive mindset. Navigating our international organisation, you are diplomatic, read people well and are discreet with sensitive information.

We also imagine that you:
•    have several years of practical administrative experience and hold a relevant administrative, office or language education – for example from Copenhagen Business School
•    bring experience supporting international executives and management teams in a global organisation
•    are an experienced IT user across MS Office, MS Teams and SharePoint/Connect editing, and are curious to learn new software such as Enalyzer
•    bring communication and social media skills, ideally including LinkedIn – a clear advantage given the external communication in the role, though not a hard requirement
•    are fluent in English and Danish, verbally and in writing so that you are able to provide linguistic support to the VPs
