From our headquarters in Humlebæk, you will join our Chronic Care R&D organization - around 400 colleagues who cover the full product development journey, from early innovation all the way to manufacturing.

 

As our new Management Assistant, you will work closely with two Vice Presidents,  the VP of Innovation Portfolio Management and the VP of Product Development supporting them, their leadership teams and their business areas. You will collaborate closely with the Management Assistants supporting the other Chronic Care R&D areas, as well as the PA to our EVP, forming a strong and supportive community across R&D.


R&D is currently entering an exciting transformation period, which makes this a particularly interesting time to join Coloplast - close to strategy, close to leadership and close to the people driving change.


A trusted role close to leadership

Your role will be a mix of classic Management Assistant tasks and executive responsibilities. You will be the person who keeps two VP calendars running smoothly, who makes sure leadership meetings are well prepared and well followed up, and who acts as a trusted point of contact and ambassador for the VPs when they are not in the office.


Working this close to senior leaders, you will gain first-hand insight into leadership, strategic priorities and organisational decision making, while developing your own skills within stakeholder management, communication, coordination and influencing without formal authority. It is a unique platform for both personal and professional growth.


Your responsibilities will include, but are not limited to:
•    Managing the VPs' calendars, protecting focus time, resolving conflicts and ensuring the right meetings are prioritised
•    Planning, coordinating, facilitating and following up on recurring leadership forums, Steering Committees, All Staffs meetings and monthly financial reviews – with agenda preparation, stakeholder coordination, decision tracking and practical execution
•    Planning and coordinating off-sites, workshops, team events and engagement activities that support leadership alignment and team culture
•    Coordinating travel and practical logistics for the VPs, and supporting the leadership teams where relevant
•    Supporting HR-related processes such as job postings, onboarding of new employees, introduction programmes and access to IT systems and platforms
•    Maintaining org charts, distribution lists and communication channels, and supporting seating and workplace coordination
•    Supporting expenses, Concur/Alusta questions, buying policy guidance and other practical finance administration
•    Enabling internal communication and information sharing across the VP areas, including drafting presentations and materials for meetings
•    Driving continuous improvement of ways of working through digitalisation, AI and new tools, and participating in the PA network and cross-functional initiatives


Management Assistant experience and a drive to succeed

Furthermore, we imagine that you bring:
•    Experience from a similar role, preferably in an international company where you have supported management teams
•    A relevant educational background
•    Solid experience working with stakeholders at different levels, including senior management
•    Confidence using Microsoft 365 tools such as Teams, SharePoint and Copilot
•    Curiosity and some experience with digitalization, new technologies and AI, and how these tools can enable smarter and more efficient ways of working
•    Strong communication skills and a high level of proficiency in English, both written and spoken
•    Experience supporting VPs and leadership teams with meetings, events, agendas, minutes, content preparation and follow-up
