Shipping Specialist

The Shipping Specialist is responsible for coordinating and managing all shipments from the manufacturing facility to sterilization service providers, and other business partners across Europe and international markets. This role ensures that products are shipped safely, compliantly, and on time while maintaining effective communication with freight forwarders, carriers, sterilization sites, customs authorities, and internal stakeholders.

 

 

Major Areas of Accountability:

 

  • Import activities.

 

    • Receive and review shipping information and documentation from suppliers and freight forwarding partners.
    • Coordinate with warehouse coordinator dates to schedule containers’ arrival.
    • Coordinate with the Freight Forwarder and Custom Broker the loads.
    • Follow up daily for possible delays that can affect the supply of materials. Close collaboration and coordination with the Material Planner is expected.
    • Ensure all inbound transportation and customs documentation is accurate, complete, and compliant with applicable regulations.
    • Maintain shipment visibility and update ERP/TMS systems with shipment milestones, expected arrival dates, and transport status.
    • Close and maintain transport records and transit files within company systems.

 

  • Shipping activities.

 

    • Coordinate with Warehouse Operations to ensure products are prepared, labelled, packaged, and staged for shipment in accordance with customer and regulatory requirements.
    • Develop and maintain a rolling transportation plan based on production schedules, customer orders, and sterilization requirements.
    • Coordinate shipments to external sterilization service providers and monitor turnaround times to support customer delivery commitments and update the system with new/changed ETAs.
    • Monitor daily production output and availability of finished goods to optimize transport planning and shipment consolidation.
    • Generate shipping documentation and process shipments through ERP systems.
    • Maintain accurate shipment records and update estimated arrival dates (ETA) and delivery status within company systems.
    • Manage transport records and ensure all shipment transactions are properly opened, monitored, and closed within company systems.

 

  • Customs

 

    • Responsible for all communication to Government Customs area.
    • Responsible to review and create reports that are relevant for the correct follow up.
    • Coordinate closely with customs brokers and logistics service providers to ensure timely customs clearance.
    • Maintain close communication with Shipping, Planning, and Warehouse teams regarding inbound and outbound customs activities.

 

 

  • Invoice handling - Alusta     

 

    • Coding and Acceptance of invoices related to freight forwarders and/or custom brokers.
    • Support for Finance for discrepancies
    • Control rates charged by freight forwarders and custom brokers.

 

 

Mandatory qualifications:

 

  • High School Diploma and relevant training in Logistics and Supply Chain
  • 3- 5 years experience in import/export
  • Proficient with ERP systems – Oracle or SAP is a plus.
  • Proficiency in Microsoft Office, especially Excel.
  • English proficiency at C1 or C2.
  • Portuguese language is a must.

 

 

Desirable qualifications:

 

  • Experience in medical devices company is a plus
  • Six Sigma or Lean certification is a plus
  • 3 - 5 years experience in Customs and Shipping similar roles
  • Demonstrated colaboration skills in a multishift team in a highvolume environment; proven startup/greenfield experience strongly preferred.
  • Willingness to travel during startup up to 20% during organization and process setup, 10% annually afterwards.
  • Knowledge of APICS/ASCM Supply Chain best practices, including transportation planning, inventory management, international trade, and logistics operations, is a Plus.
