Shipping Coordinator

Job Function Summary:

The Shipping Coordinator is responsible for the efficient management of all import and export processes to ensure the on-time delivery of Finished Goods, Raw Materials, and Indirect Materials essential to the operation. This role requires maintaining direct communication with carriers, customs authorities, government offices, suppliers, warehouses, customs brokers, and other stakeholders involved in the shipping and delivery process.

Major Areas of Accountability:

• Efficiently oversee all import and export processes, ensuring timely delivery of Finished Goods, Raw Materials, and Indirect Materials.
• Maintain direct and effective communication with carriers, customs authorities, government offices, suppliers, warehouses, customs brokers, and other relevant parties involved in the shipping and delivery of goods.
• Ensure compliance with Costa Rican and International Customs regulations, including HTS validation, goods valuation, countries of origin, record keeping, and special trade programs.
• Conduct cost analysis for Freight and Sterilization expenditures, identifying opportunities for improvement and cost savings.
• Evaluate logistics service costs and select the best carriers based on cost-effectiveness, availability, and reliability.
• Measure operational performance through Key Performance Indicators (KPIs) to ensure efficiency and effectiveness.
• Audit customs-related processes performed by our business partners and team members to ensure compliance and accuracy.
• Provide daily support in coordinating transportation and customs operations between the shipping team and various logistics chain stakeholders.

Additional Areas of Accountability:

• Implement improvement projects within the assigned shift and escalate successful initiatives to other shifts.
• Maintain and enhance communication networks with peers across different departments to ensure cohesive operations.
• Demonstrate initiative and a proactive approach to executing additional tasks as assigned by management.
• Perform duties in strict compliance with established guidelines, ensuring adherence to company policies and procedures.
• Promptly bring to the manager’s attention any challenges in understanding or following the guidelines, as well as any system inefficiencies.
• Actively identify and address any inefficiencies within the system, proposing solutions for continuous improvement.
• Take full responsibility for the safety aspects identified for this position, ensuring a safe working environment at all times. 

Responsible for:

• Performing work in accordance with given guidelines.
• Notifying manager of any difficulties in understanding or following guidelines.
• Notifying system inefficiencies.
• Assuming responsibility for safety aspects identified for given position.
• Supporting positive EHS culture.

Essential Qualifications:

• Bachelors Degree on Customs administrations or International Trade
• Proficient english level – B2
• Minimum of 4 years in Customs and Shipping roles
• Must have manufacturing environment related experience

Desirable:

• Experience in medical devices company is a plus
• Required Knowledge, Skills and Abilities:
• Six Sigma or Lean certification is a plus
• APICS is a plus
• Analytical mindset
• Proactive attitude
• Outstanding coordination activities
• Understanding of planning, purchasing, shipping & receiving, warehouse and inventory systems.
