HR Operations Specialist (Shift B)
Cartago, Costa Rica, CR
This is a Shift B (L-V, 3pm - 11pm) full time position to work in our Cartago site, located in Zona Franca La Lima. Remote work of 1 day per week, might be a possibility depends on business needs.
Our HR Operations Specialists are responsible for managing and enhancing the efficiency of the HR department’s operational processes. This role will involve overseeing various HR functions, ensuring compliance with legal standards, and supporting the overall strategic goals of the organization. You will play a key part in maintaining a productive and legally compliant work environment, contributing to the smooth operation of the HR department
Major Areas of Accountability:
- Ensure the maintenance and update employee records, ensuring accuracy and confidentiality.
- Notify to HR Admin employee changes on time to ensure systems and payroll accurately
- Assist, manage and support employees through day-to-day Human Resources questions, needs and inquiries.
- Manage labor law procedures and disciplinary actions. Support employee relations issues by providing counsel and guidance to people leaders on grievance, disciplinary, and performance issues; lead investigations when necessary. Provide support with disciplinary actions, warning letters and others
- Maintains compliance with local employment laws and recommended best practices.
- Conduct exit interviews and utilize feedback to improve departmental procedures.
- Communicate on time all termination through the HR Admin to ensure termination is complete.
- Elaborate employment contracts and required addendum. Maintains accurate and up-to-date human resource files, records, and documentation.
- Create and update HR policies and procedures to ensure compliance with legal standards and improve departmental efficiency
- Work together with the HR Admin to maintain HR Systems accurate and up-to-date employee data.
- Prepare for and assist with internal and external audits to ensure compliance
- Develop and implement strategies to enhance the efficiency and effectiveness of HR operations. Actions plans to improve HR KPIS
- Mediate and resolve conflicts between employees or between employees and management
- Ensure all employees are informed about new policies and understand their implications
- Manage employee benefits programs, and support employees and operations leaders
- Facilitate sessions during our new employee onboarding/orientation process
- Prepare, organized and facilitate leader sessions during the month
- Coordinate and ensure with the areas the periodic updating of job descriptions (one per year)
- Prepare reports of key indicators for HR and keep the information updated on boards, share points or shared folders as required.
- Coordinate internal communication.
Responsible for:
- Performing their job in compliance with the guidelines given
- Drawing attention to the manager to any difficulties in understanding or following the guidelines
- Drawing attention to inefficiency of the system
- Support the positive EHS culture
Essential Qualifications:
- Bachelor’s degree in human resources, business administration or related field, or currently studying the career with at least a 75% completed.
- Minimum 2 years of experience in Human Resources (Assistant, Admin, Generalist)
- Knowledge in Costa Rica Labor Law
- Excellent understanding of HR functions and best practices
- Excellent written and verbal communication skills.
- English level Minimum B1
- MS Office Intermediate knowledge
- Availability to work in Shit B
