Are you a customer-focused professional with a passion for administration? We are looking for an enthusiastic Customer Service & Admin Assistant to join our team!

 

About the role 

As a Customer Service & Admin Assistant, you will be responsible for handling sales orders, following up on transportation, issuing return documents, answering customer inquiries about products and services, and forwarding sales leads to the appropriate sales representative. You will also handle claims and credit notes where applicable, ensuring excellent customer service.

 

What you will do

  • Answer incoming customer calls and perform tasks such as handling sales orders, following up on transportation, issuing return documents, answering product inquiries, researching orders, resolving issues, and forwarding customer leads to the appropriate sales representative;
  • Process incoming orders promptly and work closely with the team in Poland to ensure orders are correctly processed in our ERP system;
  • Manage backorder issues and generate daily backorder reports;
  • Check transportation and delivery status daily;
  • Research and resolve customer complaints, entering complaint information into our system. Manage all claims (order, stock, and transportation);
  • Proactively research errors for possible corrective actions;
  • Send letters to customers to encourage payment of overdue accounts. Sort and file correspondence;
  • Contact customers for overdue payments and review sales terms as needed. Record collection efforts;
  • Resolve payment discrepancies such as unauthorized discounts, duplicate use of credit memos, duplicate payments, deductions, etc;
  • Work closely with sales representatives to ensure excellent customer service;
  • Spend 40% of your time on various administrative tasks outside of customer service, depending on needs;
  • Back up other Customer Service Assistants and Reception as needed.

 

Who you are

  • Detail-oriented and quality-conscious;
  • Able to prioritize your work, shift priorities when needed, and be proactive;
  • Skilled in handling difficult customer situations;
  • A team player who can work successfully across different departments;
  • Exemplary customer service skills.

 

Your skills and knowledge

  • At least 3 years of experience as a Customer Service Representative with proven knowledge of customer service procedures;
  • A 2-year degree or equivalent;
  • Excellent oral and written communication skills in French and Dutch;
  • Good command of English;
  • Proficiency in Microsoft Office (Excel, Word, Outlook);
  • Strong multitasking abilities (working on a topic while being interrupted by a phone call, an email, or a colleague entering the office);
  • Knowledge of Enterprise One by J.D. Edwards is a plus.
