Office Manager/Administrative Assistant 

Comfort Medical, a wholly owned subsidiary of Coloplast, has an exciting opportunity for an Administrative Assistant to join our growing team!

 

Responsible for maintaining the front office in a professional manner, greeting visitors and supporting senior management administratively, coordinating internal & external employee related company events. 

 

Major Areas of Accountability

  • Provide administrative support to senior management, including but not limited to, coordinating travel & expenses through Concur, scheduling and preparing meetings, preparing presentations, preparing documents for signature when needed, making copies & faxes
  • Greet clients and visitors with a positive, helpful attitude
  • Helping maintain workplace security by issuing, checking and collecting badges as necessary and maintaining visitor logs.
  • Coordinate scheduling the Recruiting department as well as greet candidates, guiding them to appropriate location for interview
  • Sort through incoming mail. Distribute daily to corresponding departments
  • Maintain filing system electronically
  • Maintain company organizational charts
  • Work with various outside vendors for any office related needs, such as office supplies, janitorial supplies, marketing materials, event and travel planning.  Place orders as necessary
  • Work with warehouse and janitorial staff to keep breakrooms / restrooms properly stocked with coffee and other related supplies, adhering to approved budget
  • Work with property manager to assist with resolution on any office related issues, ie, AC, plumbing, electrical, etc
  • Research, gather information, compare pricing & obtain quotes on any office purchases for management approval
  • Maintain HIPAA compliance requirements
  • Adhere to company policies and procedures with an emphasis on professional behavior
  • Assists with other duties as required
  • Dress attire to remain professional at all times

 

Basic Qualifications

  • High School diploma or equivalent experience
  • 2+ years of administrative assistant experience, preferable with C Suite
  • Experience working under pressure and within tight deadlines
  • Ability to take initiative and work independently
  • Excellent verbal and written communication skills
  • Experience working within the Microsoft Office suite (Outlook, Excel, PowerPoint, and Word)
